Description of the Position

Job title: In-House IT and System Administrator

Location: EU, preferably Vilnius (Lithuania) or Warsaw (Poland)

Type of contract: Part-time Contract for Consultancy Service between 1st September 2025 and 14 July 2026

Contracting authority: The Secretariat of the Eastern Partnership Civil Society Forum (EaP CSF)

The Eastern Partnership Civil Society Forum (EaP CSF) is a unique multi-layered regional civil society platform aimed at promoting European integration, facilitating reforms and democratic transformations in the six Eastern Partnership countries – Armenia, Azerbaijan, Belarus, Georgia, Moldova and Ukraine. Serving as the civil society and people-to-people dimension of the Eastern Partnership, the EaP CSF strives to strengthen civil society in the region and boost pluralism in public discourse and policymaking by promoting participatory democracy and fundamental freedoms.

The Project

The 30-month large EU-funded project has been implemented by a consortium of organizations coordinated by the Secretariat of the EaP CSF. The main objective of the project is to improve the capacity and situation of civil society organisations.

Scope of Work

The Consultant will be responsible for the following tasks:

  • Administration of Google Workspace;
  • Administration of Slack, Zoom;
  • Configuration and Maintenance of Equipment;
  • Ad Hoc Assistance.

The special requirements for the Consultant will be ensuring the confidentiality, adhering to data protection policies and procedures, as well as maintaining the proactive approach by identifying and addressing any issues, suggesting improvements to enhance the efficiency and security of IT systems.

Timing and deliverables

Deliverables include providing the services as per the Scope of Work. Workload might be variable and experience peaks during key milestones of the project.

The Consultant will be required to prepare the monthly progress reports to the Project Manager and the Finance Manager of the EaP CSF Secretariat outlining main developments and bottlenecks. The Consultant will be asked for the mandatory attendance to the monthly team meeting (can be remote).

Required Skills and Experience

The Consultant should possess the following qualifications and experience:

  • Proven experience in administering Google Workspace, Slack, and Zoom;
  • Strong knowledge of computer equipment configuration and maintenance;
  • Excellent troubleshooting skills for software, hardware, and connectivity issues;
  • Commitment to maintaining confidentiality and a proactive approach to IT management;
  • Understanding of web security functions;
  • Ability to work independently and manage time effectively as well as ability to work as part of a team;
  • Ability to explain crucial aspects to non-specialists;
  • Ability to meet deadlines and deliver quality work;
  • Analytical thinking and a logical approach to problem solving;
  • Adaptability and management of stressful situations;
  • Knowledge of English language; knowledge of any Slavic language is considered as an asset.
